Dr. Celia
00:00 – 00:39
Hey there, Biz Mom. Welcome back. If you caught last week’s episode, you heard me share all about how December and January, I had these amazing plans that I wanted to accomplish, like spring clean my business in December 2024. So I would go into January, like rocking for the year. And life had its own way of coming into fruition. Instead, My son had pneumonia and ended up sick and I was taking care of him and then I got sick and it was a whole big blur at the time and everything I had planned that month, all my business plan perhaps just basically went right out the window.

Dr. Celia
00:40 – 01:10
Well, today we’re going to get like super practical on what to do when you find yourself in these moments. Before we dive in, if you’re listening to this right now and you’re in one of those intense seasons, maybe you’re taking care of your kiddos who are also sick, or maybe you’re the one who’s sick, I want you to know something. You are not alone. You know what mom life feels like right now? It feels like being caught in a thunderstorm that’s been raging for days. The rain keeps coming, the wind keeps howling, and sometimes it just feels like the sun forgets to exist.

Dr. Celia
01:10 – 02:31
So today I’m going to share a simple, and I mean really simple, way of handling your business when you’re in survival mode. Because you do not need complicated systems right now. You need something that actually works. So First step, we’re going to do a complete brain dump. I want you to get everything out of your head and onto paper. And the reason why this is important is because like our mind when we’re not doing the things we want to do, everything just like ruminates and builds up and we keep thinking about it and we go to bed thinking about it we wake up thinking about it’s all throughout the day and it’s like consuming us internally that like once you get it out on paper and it’s just all there it kind of gives your brain like a sigh of relief so getting it out on paper it gives it that relief of like hey i don’t have to hold this internally i don’t have to carry the weight of my to-do list at least it’s on paper at least i could visually see it and i can let it go from my mind at the moment So when I say everything I mean everything and I do not want you to organize yet just get it all out and it might feel overwhelming at first because like you’re just writing and writing and writing and you’re looking and you’re like oh my gosh I have so much to accomplish and I’m not getting anything done but at least just focus on the first step about just getting it out of your head and just letting it out on paper and then taking a deep breath afterwards.

Dr. Celia
02:34 – 03:15
So this part’s gonna get really interesting. Once you completed like your complete brain dump and you dumped out everything, you’re gonna sort it out into four buckets. The first one is urgent, like business will break without this urgent. The second one is semi-urgent, important but won’t cause immediate problems. And the third bucket is things that can wait until you’re better. And the fourth bucket is complete pause mode items. So let’s talk about these truly urgent items for a minute. Like, be honest with yourself. Do you have the energy to tackle them? If yes, take it slow, like really slow, like one step at a time.

Dr. Celia
03:16 – 04:00
And with this really urgent areas of your business, I really want you to take a look and see, are they truly urgent or do they just feel like they’re urgent? Well, my business truly break if I don’t do it or maybe they’re actually more like semi urgent or things that could wait till you’re better because even with like when we do a first round of figuring out our categories, it may not be actually as relevant as we think it is like Sometimes going through a second pass or third pass just to make sure you’re truly urgent is truly urgent We’ll make a difference and you might notice that you don’t have too many items in the truly urgent area And here’s actually a secret.

Dr. Celia
04:01 – 05:06
Like most things we think that are urgent, they’re actually not. So you could actually probably move them to like one I’m better list. And trust me on this, because right now we want to just do what you can to get through the season of life that you’re in. For the semi-urgent category, which is important, but won’t cause immediate problems, I would recommend that you take a look and see if, how, where do they range on the semi-urgent scale? are they like semi-urgent and like when you feel better you can actually just you know work on it a little bit later or is it stuff you need to get done after truly urgent or is it something like You know it’s kind of a little bit pressing like you do need to work at it but it’s not like the most pressing thing like for example like you’re applying for a summit and there’s a deadline but you have like a week to fill out the application so that is semi-urgent and there’s probably like truly urgent items happening but that’s something that needs to get done so Maybe scheduling it out on like four days from now, I’m gonna fill out this application.

Dr. Celia
05:07 – 06:33
That gives me buffer room that like, all right, I’m not doing this right away, but I will do this in four days. But if I couldn’t do it the day I had it scheduled, at least I could still do it the next day and there’s still room to get it within the application deadline. And that’ll be like an example of semi-urgent. and things that could wait till you feel better like anything in your business that’s not pressing like just say you had on your mind to create like a custom AI bot for your business but you’re not feeling up to it right now that like that could wait later if that’s something that’s not pressing for your business right now like things like that like things which you have something that like a running list that like you want to work on but you’re not capable of it just have that in your things that could wait until you’re better list and keep it aside and when you’re having more energy more capacity more time definitely revisit that and then the last area is like complete pause mode items like these might be items that going into this year or even like in you know this quarter right now that you really want to work on but life just got hard and it just got busy and it got not the way that you expected so maybe there’s some items you wanted to work on but you’re pausing it for now like you really want to start like a YouTube channel but you know you realize this is not the time or season so you’re gonna put that on pause and bring that back in when things are a little bit more manageable.

Dr. Celia
06:35 – 07:20
So just go back and state what the four categories are is truly urgent, like business will break without this urgent, semi-urgent, important but won’t cause immediate problems, things that can wait until you get better, which is the third one, and the fourth one is complete pause mode items. We’ve all been there, right? Life happens, deadlines get missed, balls get dropped, but that’s okay. But here’s what I learned. There’s actually a better way to manage your time even in these crazy seasons. And I actually created a quiz to help you figure out what works with your strengths and your personality in terms of time management and getting things done.
